Summary and Main Purpose:
To provide a professional and quality administration support service to enable the People Team objectives to be met, whilst providing a People support service across the company, promoting best practice & compliance with employment legislation.
Key Accountabilities:
- Maintain and update People administration systems for the processing and reporting of information as required by Company standards, including assisting with the auditing and checking of such systems
- Liaise with company departments and utilise HRIS system to process colleague details and information
- Support the People Partners where necessary
- Be the first line of support for all HR queries via telephone or HR inbox
- Support Vero Screening with new colleague’s suitability checks including DBS checks, Right to Work in the UK and previous employment reference checks
- Maintain the Single Central Register and the reporting of all DBS and Reference checks weekly to the wider People Team
- Lead the collation of the monthly Board Report and final circulation of the document
- Monitor and advise Managers on colleague’s renewal of DBS checks
- Support the HR team with the development, implementation and delivery of policies and processes
- Prepare letters and other communications to colleagues in relation to amendments to contracts of employment
- Provision of HR information, advice & guidance and support to colleagues and line managers as appropriate within the parameters of the position and escalate any queries if necessary
- Support with the payroll process each month
- Process leavers from the business ensuring all People system updates and processes have been followed
- Lead on the provision of standardised monthly People Data as part of the board report and SMT meetings
- Provide Ad-Hoc reports as required throughout the month
- Monitor colleague’s probation periods with line managers to include ensuring managers and colleagues receive the necessary actions and correspondence. Advise managers regarding any terminations or extensions
- Monitor and issue correspondence in relation to absence management, performance management and conduct. Assist with absence management process and meetings
- Assist to ensure other members of the People team and company are Data Protection Act 2018 complaint at all times
- Contribute to the sharing of good practice and support continuous improvement throughout the Company
- Promote a positive image of the Company, the People Team and all of the services it delivers
- Actively contribute to maintenance of a professional and welcoming environment
- Support the CEO with collating and scheduling annual leave and regular 121s for the SMT
Key Requirements & Qualifications:
Functional Skills English, ICT and Maths Level 2 or equivalent
Desirable:
- CIPD Level 3 Certificate in Human Resource Practice or equivalent
- Degree
Experience:
- Experience of delivering a high standard of Customer Service
- Experience of working under pressure and to tight deadlines
- Strong IT skills and competent user of all Microsoft programmes including ability to use Excel and create PowerPoint presentations efficiently, at speed and according to timescales
Skills and Knowledge:
- Understanding of administration processes
- Be willing to further yourself through continuous professional development, updated practices and relevant training
- Experience using Excel as an analytical and reporting tool
- Able to work at pace and remain resilient

- Excellent verbal and written skills with outstanding attention to detail
- Good time management with the ability to plan, organise and prioritise workload under pressure
- Exceptional interpersonal, communication and organisation skills
